The 4-Step DM Sequence: Timing, Tone, and When to Stop

A DM sequence done respectfully is just good follow-up. Done sloppily it's harassment with extra steps. Here's the four-step structure that maximizes replies while staying firmly on the right side of that line.

Step 0 — The opener (day 0)

Context + their specifics + an easy question. No pitch yet. (See the five opener formulas.) The only goal is a reply — any reply.

Step 1 — The value follow-up (day 3–4, if no reply)

Don't bump with "just following up" — add something. A relevant tip, a pointer to a resource, one observation about their situation. You're demonstrating that talking to you is worthwhile even if they never buy.

"No worries if you've got this sorted — one thing that worked for others in your spot: [specific tip]. If you're still looking, happy to share what's worked."

Step 2 — The direct ask (day 7–8)

Now the product gets its one line — disclosed, specific to their stated problem, easy to decline:

"If it helps: I built [X] for exactly this — [one-line fit reason]. No worries either way."

Step 3 — The breakup (day 14+)

The graceful exit converts surprising well and closes the loop cleanly:

"Last note from me — sounds like timing isn't right. If invoicing ever becomes a headache again, you know where to find me. Good luck with the clients!"

The non-negotiable rules

  • Never exceed 3 follow-ups. Step 3 is the last message, permanently.
  • Any reply changes the script. A responded prospect is a conversation — kill the sequence, be a human.
  • Stop means stop. "Not interested" or silence after the breakup = done, and your CRM should mark LOST so nobody accidentally re-pings them in three months.

The sequence exists to be forgotten about safely — you set it up, it paces itself, and the stopping is structural rather than willpower-dependent.
